      1. General information

      The test price includes:

      • One test occasion

      • A certificate for those who passed the test

      • The Hygiene Passport mailed to a given address in Finland


      The registration to a test is binding.

      The customer is obligated to

      • show up in time to the test occasion and follow the instructions given by Hygienepassport.
      • make sure their contact information is valid for at least one (1) month after the test occasion
      • bring a valid identification document upon arrival to the test (e.g. passport, official identity card). Hygienepassport.fi reserves the right to charge the test occasion if a valid document is missing. A list of acceptable documents can be found at hygienepassport.fi


        Hygienepassport.fi reserves the right to cancel a Hygiene Passport test when the minimum participant amount (5) is not met. In cancellation situations Hygienepassport.fi aims to find a new test time for the customer. Alternatively Hygienepassport.fi can send a test voucher (valid 12 months) to the customer. The customer can also ask for a refund if there is no substitute test available.


      2. Cancellations and rescheduling

      Normal Hygiene Passport test or a translated test A written notice of cancellation (e.g. e-mail) must be received by Hygienepassport.fi no later than 12 hours prior to the beginning of the test. Hygienepassport.fi reserves the right to charge the test due to a late cancellation or for not canceling at all.

      A private, specially arranged test (e.g. dictionary test or a private translated test) A written notice of cancellation (e.g. e-mail) must be received by Hygienepassport.fi no later than seven (7) days prior to the beginning of the test. Hygienepassport.fi reserves the right to charge the test due to a late cancellation or for not canceling at all.

      Private tests ordered to companies or to other groups The number of persons attending the test must be confirmed at least 7 working days prior to the test occasion. Agreed travel expenses and agreed number of persons will act as an base for the invoicing if nothing else has been agreed upon in writing. An additional invoicing fee of 10 € (incl. VAT) per invoice will be charged. A written notice of cancellation (e.g. e-mail) must be received by Hygienepassport.fi no later than seven (7) days prior to the beginning of the private test. Cancellations made under seven (7) days before the private test are invoiced with 50% of the final price of the said test. 

      Online training A written notice of cancellation (e.g. e-mail) must be received by Hygienepassport.fi no later than 12 hours prior to the beginning of the online training. Hygienepassport.fi reserves the right to charge the online training due to a late cancellation or for not canceling at all.

      Refund of online payment, when the customer does not want to reschedule a new test when canceling according to the terms and conditions, Hygienepassport.fi reserves the right to charge a 2,50 € cancellation fee from each cancellation.

      Rescheduling the test and online training can be done via Hygieniapassi.fi customer service. Rescheduling can be done in line with the cancellation policy.

      Hygienepassport.fi is not obligated to compensate any travel or other expenses that may cause from the Hygiene Passport test.


      3. Orders and deliveries

      Book orders Books ordered from the Hygienepassport.fi online store are mailed via Posti as a home delivery unless the customer states that they will pick the delivery from the Hygienepassport.fi office. Tracking code will be provided if asked separately by the customer from the Hygienepassport.fi customer service. All book orders are aimed to be sent to the customer within 1-2 weekdays after placing the order. Hygienepassport.fi commits to handle the shipments carefully and to provide the material ordered to the post office without delay.

      Online material Trainify.fi training time ordered from the online store is sent to the customer’s email address after the purchase.

      Hygiene Passports The Hygiene Passports are delivered via mail as a normal letter shipment to the address provided by the customer in about 2-4 weeks time from the taken test. To private groups (companies, educational institutions etc.) the Hygiene Passports will be delivered as a mass mailing to the address given by the contact person, unless agreed otherwise.

      As regards to orders made from the Hygienepassport.fi online store as well as mailing the Hygiene Passports, the customer is responsible to give clear and valid address information. The customer guarantees that their contact information is valid for at least one (1) month after the test occasion. 

      The test price includes one mailing to Finland and Åland Islands*.

      *Please note! The Åland Islands are part of the European Union but outside the EU’s taxation boundary, which is why you will need customs documents for items containing goods sent to the Åland Islands. According to the Finnish Customs, documents (e.g. Hygiene Passport) don’t have to be cleared by customs. However, Hygiene Passports that are sent to the Åland Islands must contain a written notice of the contents. If a Hygiene Passport is sent to the Åland Islands, the customer must write the text “Asiakirja/document” to the envelope along with their address.

      If a shipment is returned back to Hygieniepassport.fi, due to faulty and/or old address information given by the customer, the customer is required to give correct address information for the resending of the shipment or to pick up the shipment from the Hygienepassport.fi office.

      Hygienepassport.fi is not responsible for any shipments lost or damaged in the mail.

      4. Return policy

      Books ordered from the online store have a 14 days return policy. The returned product must be unused and fit for sale.

      Any comments regarding received shipments must be made without delay, but no later than five (5) days after receiving the order. 

      Possible returns must be agreed separately in writing (e.g. e-mail) with the customer service. In case of return, a 5,60 € (incl. VAT 10%) postal fee and a 2,50 € cancellation fee is charged. The customer is responsible to handle the return costs.

      5. Possible reclamation notices

      If the customer has not received their Hygiene Passport within four (4) months of the test date, they are obligated to inform Hygienepassport.fi about this. In case the customer has not informed Hygienepassport.fi about this within the given time frame, the customer is responsible to cover the cost of a reordering of a new Hygiene Passport.

      6. Payment service provider

      Paytrail Plc acts as a collecting payment service provider and is an authorized Payment Institution. Paytrail Plc will be shown as the recipient on your bank or credit card statement. Paytrail Plc will forward the payment to the merchant. For reclamations, please contact the website the payment was made to. In some cases Paytrail Plc might be in contact with the customer and ask to give additional information (e.g. account number).

      These terms and conditions are valid until further notice. Hygienepassport.fi reserves the right to make changes to these terms and conditions. Hygienepassport.fi agrees to follow the given terms and conditions.
